Summary
- Reporting to the Resource Lead, this role is responsible for the mid-term resource planning and strategising of the Resource Function
- To ensure the company have the operational staff to maintain the operational forecasted demand.
- Being the front-line contact for staff with rostering matters.
Duties and Responsibilities
- Utilising the weekly/monthly and budgeted forecast to effectively resource.
- Liaise with the Capacity Team to create and maintain and effective mid term plan resource plan.
- Maintaining control of each team members annual leave, sickness, contractual hours and overtime to ensure that all contractual requirements are fulfilled.
- To work closely with the Training Team to ensure all mandatory and ad-hoc training for employees is rostered in a timely manner.
- Working confidently with bespoke planning software and tools to ensure supply alignment with demand, making balanced decisions which supports the operation whilst adhering to rostering principles.
- Providing a mid-term view of any resourcing gaps as well as providing initiatives to close gaps.
- Ensuring that any gaps in staff provision are filled through reallocation of hours to create an optimised roster. Ensuring that where possible Line Managers have headcount requirement sufficient to meet the needs of the business and achieve their KPIs efficiently.
- To provide support with the ongoing maintenance of the rostering and attendance systems, ensuring they remain up to date.
- Participate in weekly resource meeting with teams, with a look ahead as well as any key operational comparisons.
- To provide and present monthly and annual reports for the Management team covering such areas as variations overtime under or over provisions, to incorporate other variances impacted by short term planning and trend reporting on absence.
- To ensure adequate coverage of mid- and short-term planning responsibilities when required
- To be accessible to staff to discuss roster queries and concerns around shift allocations.
- To maintain a good knowledge of new technologies and best practices in resource planning.
- To develop relationships with the Management team to ensure there is a positive working relationship and that their resource needs are fulfilled.
- To ensure adequate coverage of short term planner as required.
Tasks:
- Review and implement all adjustments within the 2- and 3-week planning cycles.
- Monitor staffing levels, addressing over- and under-resourcing by reviewing factors such as long-term sickness and planned training, and take appropriate action to mitigate shortages.
- Schedule and roster all added-value training within the 2–6 week planning cycle, including rectifications
- Oversee, monitor, and allocate annual leave in line with organisational policies and operational requirements
- Disseminate any required joining instructions as required.
- Roster training lanes and required resource as per the training plan
Candidate requirements
- Development and delivery of optimised rosters for the teams
- Foster a professional working relationship with team members
- Deliver a timely, successful rostering plan to underpin the success of the KPI’s
- Excellent Microsoft Excel knowledge
- To ensure all Health & Safety responsibilities are met and to maintain compliance with best practice and legal requirements.
- To undertake and successfully complete all training requirements in order to meet Company Health and Safety standards and Department for Transport standards.
- To carry out such other duties commensurate with the grading of the post which may be determined from time to time.
- To obtain and maintain Counter Terrorist Clearance.
