Reed HR are working alongside a large Not for Profit Organisation based in Central London who are recruiting for an experienced Interim HR Advisor for initially 6 months. This is a hybrid role so flexibility is offered.
Key Duties & Responsibilities
Disclosure and Barring Service (DBS) Checks
- Be the lead on managing all DBS checks as required by the business.
- Update and maintain the DBS tracker with all applicants and any relevant information. This document must be regularly updated throughout the whole DBS process so effective tracking of all applications can take place.
- Advise, give guidance and be the main point of contact to staff and managers regarding which roles require a DBS check, ensuring this is updated in the tracker and that DBS checks are in place prior to a start date with the organisation.
- Advise, give guidance and be the main point of support for queries relating to the level of DBS required for specific roles. Working closely with Safeguarding leads when clarity is required. Update the Guide to DBS checks as required.
- Be the main point of contact for the UKCRBS partner and manage all checks and documentation through their online system.
- Communicate with DBS applicants to ensure they know what is required of them and why, and that they know which documents to provide to ensure a smooth DBS checking process.
- Carry out ID checks on all DBS applicants, ensuring that information is correctly recorded. (A full list of IDs that are accepted, are found in the ‘ID Checking Guidelines for Applicants’ document).
- Manage invoicing and seek appropriate sign off for invoices to ensure prompt payments are made.
- Manage the differences in DBS checking processes across the devolved nations, for example by following appropriate guidance for Disclosures Scotland and Access NI (as specified within the Guide to DBS document).
Safeguarding
- Ensure that the Safeguarding Oversight Panel process is supported and well-coordinated, being responsible for its administration. This will include the collation and dissemination of all appropriate documentation, through to ensuring that outcomes are recorded and appropriately communicated by the correct individuals.
- Provide administrative support to the Director of HR and the Safeguarding Leads in the appropriate management of safeguarding issues and cases.
- Maintain all safeguarding records and ensure that all case files, documentation, communications, and formal outcomes are saved in an appropriate manner in line with GDPR requirements. This includes updating necessary trackers.
Data Protection
- Act as Data Protection lead for the HR team, sitting on the Data Protection staff group.
- Ensure that the organisation is kept up-to-date and operates within Government legislation on GDPR.
- Maintaining an accurate record of all policies, procedures and documentation which relate or have relevance to GDPR. Ensuring that those documents are kept up to date with current wording on GDPR/Data protection.
Policies and Procedures
- To keep an up-to-date register of all HR owned policies and procedures, including maintaining an accurate policy review timetable.
- Proactively propose new policies which would help to enhance the service delivery of the HR department.
- Ensuring that the organisations Intranet and Internet are updated with the correct policies and policy statements.
