Carry out the administrative tasks required within the People Administration team in an efficient and effective way.Key Responsibilities
1. To provide consistent, high quality proactive and reactive HR administration across the lifecycle of an employee or volunteer's time with the business (Recruitment/onboarding, contract/role variations, safeguarding, absences, reward & benefits, pensions, departure)2. Maintain a consistently high level of service to our customers. Ensure high levels of confidentiality and credibility are always delivered, whilst being both proactive and reactive to business needs, priorities, and deadlines.3. Provide a helpdesk function to give guidance on general HR queries, policies and procedures from staff and volunteers. Handle telephone, email and face to face enquiries in a discreet and credible manner.4. Input and manage accurate data on HR records in the IT system; Microsoft Dynamics AX5. Become an expert in all aspects of the HR records to query/review data where needed. Be able to identify and resolve issues by working alongside other departments to support system developments, testing and IT implementations.6. Use your knowledge of team processes to accuracy check requests coming into the team. Refer back with any queries/discrepancies before actioning.7. Develop and deliver training on HR admin processes to business areas.8. Write and review team process instructions ensuring the most up-to-date version is always available to the team.9. Continually look to develop and improve processes to increase efficiency, adhere to legislation/policy changes, enhance customer experience, and utilise new developments in our HR systems.10. Provide administrative support for larger scale tasks within the People Department. Contribute to organisational projects acting as the People Admin subject matter expert, implementing any changes, and communicating back to your colleagues.11. Manage the maintenance and filing of all people records12. Provide HR reports to the business as required13. Raise purchase and service orders for the People department, log invoices ready for payment, support with ad-hoc payments.14. Record daily workload volumes to inform team focus/priorities and production of management information15. Continually develop general knowledge of HR legislation and any changes within the organisation.16. Have a good understanding of data protection legislation and data governance and uphold the required data standards.17. Manage, action & distribute incoming post for the HR teams.18. To become involved in other ad hoc tasks as required.Qualifications required
GCSE or equivalent in English and Maths. Desirable - HR qualification but not essential
Experience required
Demonstrable administrative and organisational skills. Strong PC and data inputting skills. Ideally a good working knowledge of Microsoft Dynamics AX.Suitable for someone who
Pays attention to detail and can use their own initiative to resolve problems but knows when appropriate to escalate. Organised, proactive and strives for excellence. Good interpersonal and telephone skills. Excellent customer service skills. Works well in a team and is a real team player.
Temp assignment - 2/3 months possibly longer £14.50 - £15.00 an hour Hybrid - Poole - parking
